This Privacy Policy explains how ResidentLink 360 collects, uses and protects personal data when you visit our website, request a demo or use our platform.
Who we are
ResidentLink 360 provides an AI-powered operating system for residential block management. For personal data we collect through this website and when providing our platform to our customers, we act as a data controller. Where our customers (block managers, operators and developers) upload resident data into the platform, they are the data controller and we process that data on their behalf as a data processor, under a written data processing agreement.
Information we collect
We collect the following categories of information:
- Contact and enquiry details you give us, for example when you request a demo: your name, work email, company, job title, phone number, portfolio size and message.
- Account information for platform users: name, email address, role, sign-in credentials and activity logs.
- Platform data our customers manage in the service, such as block and unit records, resident profiles, maintenance requests, parcel and key logs and communications.
- Technical data such as IP address, browser type, device information and pages visited, collected through server logs and essential cookies.
How we use your information
We use personal data to:
- respond to demo requests and enquiries and prepare proposals;
- provide, secure, maintain and improve the platform;
- send service and security notices to account users;
- comply with our legal and regulatory obligations.
We do not sell personal data, and we do not use resident data from the platform for our own marketing.
Legal bases for processing
Under UK and EU GDPR we rely on: contract (to provide the service to our customers); legitimate interests (to respond to business enquiries, secure our systems and improve our products); legal obligation (for example, accounting and tax records); and consent, where we ask for it, which you may withdraw at any time.
Sharing and international transfers
We share personal data only with trusted service providers who help us run the platform, such as cloud hosting, email delivery and customer support tools, under contracts that require them to protect it. Our platform is hosted on Amazon Web Services. Where data is transferred outside the UK or EEA, we use appropriate safeguards such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.
Data retention
We keep personal data only for as long as we need it for the purposes above. Demo request details are kept for up to 24 months unless you become a customer. Customer platform data is retained for the duration of the contract and deleted or returned at its end, in line with the data processing agreement.
Security
We protect data with encryption in transit and at rest, strict access controls and continuous monitoring. Read more on our Security page.
Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict the processing of your personal data, to object to processing, and to data portability. If you are a resident whose data is held in the platform by your block manager, please contact them first; we will support them in responding to your request.
You also have the right to complain to a supervisory authority. In the UK this is the Information Commissioner’s Office (ico.org.uk).
Cookies
This website uses only the cookies needed to run it securely, such as cookies that keep you signed in. We do not use advertising cookies.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed.
